School of Engineering Secretary

The Secretary of three schools: School of Business and Economics, School of Engineering and School of Humanities and Languages.

The Secretary of three schools will assist the Deans of the schools and the faculty in organizing and managing the work of the schools. This may include: 

  • Perform a variety of secretarial work and other duties as may be assigned by the schools;
  • Greet, assist, and log in/out visitors to the office of the schools;
  • Keep personnel files for faculty of the schools on a basis of strict confidentiality;
  • Assist the Deans to keep records and organize documents related to the annual evaluation of faculty;
  • Work with the Deans and the faculty to organize the schedule of courses for the coming semester and academic year; (The Registrar will make up the final class schedule and assign classrooms.)
  • Work with the faculty advisers, direct students to those who can help them with academic questions and problems;
  • Collect and keep course outlines (syllabi) for all courses taught in the schools;
  • On behalf of the Deans, ensure that faculty members comply with deadlines and regulations concerning grades, examinations, verification of course enrollments, submission of student course schedules, and other tasks necessary to the efficient functioning of the student records office;
  • Write and keep minutes and records of meetings of the schools and of departments;
  • Keep a record of all students enrolled in majors in the schools;
  • Act as a liaison between the schools and all personnel, Executive Board and other departments of the university;
  •  B.A. or B.S. degree essential; Master’s preferred;
  •  Ability to communicate well in English and in Vietnamese;
  •  Organization and management skill. Ability to manage multiple tasks involving records and schedules. Some experience in management highly desirable;
  •  Familiarity with Word, Excel and other IT applications essential to management;
  •  A personal attitude which is supportive, optimistic, friendly, and able to solve problems.

Salary range:competitive, depending on qualifications.

Work hours: 40 hours a week on the Tan Tao University campus.
